Job Description

  • Assists the Controller in maintaining the general ledger.
  • Responsible for drawing down Federal funds.
  • Assists the Controller in reconciling restricted funds.
  • Responsible for preparing the calculation for the Title IV withdrawal funds.
  • Responsible for reviewing the credit balances for student refunds.
  • Maximize the use of the Jenzabar System to assist with performing routine tasks.
  • Prepare analyses and schedules as assigned for the annual financial audit of the college.
  • Assist the Controller in establishing and monitoring appropriate internal process controls to enhance the overall operations of the Controller’s Office.
  • Assist the Controller in preparing the College’s annual operating budget and monitoring the budget by distributing the monthly Budget vs Actual Report to departments.
  • Prepare and monitor the contracts and grants schedule to ensure that grant funds are drawn down in timely manner.
  • Uses Accounting and Analytical skills to monitor, track, prepare and submit grant and contract financial reports for both external agencies and internal use.
  • Enters grant and contract budgets in Jenzabar.
  • Assists in the preparation of financial documents, including the Schedule of Expenditures of Federal Awards.
  • Inspects items on grant expenditure reports to determine if they are within the guidelines of the grant.
  • Applies principles of accounting to analyze past and present financial operations relating to grants and contracts.
  • Prepares monthly payroll allocation journal entries where applicable.
  • Maintains calendar/ schedule of financial report deadlines to ensure compliance with grant reporting requirements
  • Assume responsibility for the Controller’s Office operations in the absence of the Controller.
  • Assume other duties and responsibilities as assigned by the Controller.

  • Must be able to work well with employees at all levels of the College with proven experience in managing and directing a diversified work staff. Must be able to handle all situations with tact, persuasiveness, and diplomacy.
  • Must be self-directed and innovative, able to assess current operations in an effort to improve the future goals of the College. Must be able to meet deadlines in a timely manner.
  • Strong technology skills to include Microsoft Office products with emphasis on Excel.

 

Qualifications

Mandatory:  

  • Bachelor’s degree in Accounting, Finance, Business Administration/Management orrelated field, minimum 4-6 years of experience in theController/Business Office; experience in a supervisory role.

 

Preferred: 

  • Bachelor’s degree in Accounting or Business Administration/Management. 6 years of experience in the Controller/Business Office; 2 years in a supervisory role in a college and university environment.

Controller-Business and Finance

West Virginia State University seeks qualified applicants for the position of Controller in the Department of Business & Finance.

 

Responsibilities include:

Include but not limited to the following: Preparation of monthly, quarterly, and annual financial reports; perform internal audits as needed; provide financial information to the University’s Board of Governors, President, and Vice-presidents as requested; work with external auditors during annual financial audit and special audits of the University; provide information to external auditors; prepare 1098-T forms for tax payers annually; develop procedures for and solve operating problems of the Banner financial reporting system; act as the liaison for Banner (student module and finance module) to University Computer Center and WVNET; supervise the reconciliation of the financial reporting system (Banner) records to the State Auditor’s Report.

 

Requirements/Qualifications:

Education:  The prospective candidate must have a BS in Accounting Degree.  A Master Degree in Business Administration or a CPA is preferred.

 

Knowledge and Skills:  Employee must have the ability to apply accounting principles and concepts in a complex fund accounting environment.  Must be able to effectively manage staff and interact with various individuals internally and external to the campus.  It is necessary to have the ability to understand and use complex accounting system and spreadsheets.  Knowledge of Banner finance in a higher education setting is preferred.

 

Experience:  At least two years’ experience in financial statement preparation as either a controller or assistant controller at an institution of higher education or similar institutional setting or experience as an external auditor of financial statements.

 

The Controller position is a non-classified position reporting directly to the Vice President for Business and Finance.  The salary is commensurate with qualifications and experience with excellent benefits.
